Case: what is the current situation?

EWT was using IFS Applications, version 8.2. The implementation was done by a third party several years ago. This was an implementation of IFS Applications with in depth configuration of modules. Unfortunately, this project was accomplished with little involvement of the user community within EWT. As a result, the configured functionality of IFS Applications was never used as intended. Users experienced IFS Applications as too complex. It was never fully accepted and many users diverted to tools like Excel.

The company had setbacks, but a significant growth in business was evident. In anticipation of further growth EWT decided to evaluate their IFS Applications, especially how the application was embedded. The conclusion was disappointing. EWT decided to optimise IFS Applications. The goal was a more intensive and efficient use of this ERP system. EWT realised this optimisation would have too much impact on their organisation if they would allocate only internal resources. In the attempts to find a suitable partner, EWT turned to Eqeep.

Requirements: which demands have to be met by the ERP system?

EWT chose for a phased approach to limit overall impact and also taking into account the adaptability level of the EWT user community. The optimisation of IFS Apps, for requirements of the Operations-, Supply Chain- and Finance departments, was the goal in the first phase. Interviews with management and key users of departments were held in order to identify those requirements and subsequently map out all necessary improvements in IFS Apps.

In phase 1 the focus was on the implementation of the Service & Maintenance module and Multi Company functionality in IFS Apps 8.2. These features were identified as requirements for EWT during the interviews. Another necessary improvement was an upgrade of IFS Apps version 8.2 to version 9. The main reason to upgrade was the desired Mobile Work Order functionality, which was not available in the IFS Apps version used by EWT at that time. The upgrade was a joint effort between IFS Benelux and Eqeep. IFS handled the technical upgrade from version 8.2 to version 9 of IFS Apps. Functional verification and testing was done by Eqeep. 

The Mobile Work Order functions enables EWT to inform the Service Engineers all over the world about the work orders planned for maintenance and service. The Service Engineers book the used materials on their tablets which makes an instant booking to the connected IFS 9 App. In the past the material bookings were made monthly. This caused a delay of stock transactions which led to ad-hoc refill actions.  

Screening and updating all available and missing data was also part of the optimisation. Improving the quality of the data (fe. Leadtimes, MoQ, Multiple Lot sizes) in combination with the supply chain setup and the Mobile Work Order functionality realised a continuous flow.

Results: what are the benefits of the implementation?

The instant bookings of materials in the MWO app enables refills of vans and busses more accurate and on-time. The inter-site material transactions are scheduled on fixed days and contain easier pickable quantities of parts that replaced ad-hoc and urgent requests (of which many on paper). An accurate set of data is supporting the solution. The dataset that was used is extended with fields of which the effects were unknown in the past. The organisation is now more in control of the material flow and is able to trace bookings within the complete supply chain. The positive response from the users who noticed this, influenced the organisation by doing a study on the possibility to extend the IFS Applications to other departments too. Adding departments and work processes to IFS step by step appeared to be a method that fits the EWT organization well.

Experience: looking back on working with Eqeep

The collaboration between EWT and Eqeep went very well. There are a number of things that EWT has found particularly pleasing. First, the phased method of working allowed EWT's business operations to continue as normal. Secondly, EWT had one person of contact at Eqeep that they could approach. A pleasant experience. And finally, Eqeep was the only supplier of the IFS Applications service. Again working with one dedicated project manager and point of contact.

Future: what’s next?

The current setup proved to have a positive impact on the processes that were included. Therefore a new EWT affiliate in Greece will be working with a similar IFS inter-site setup as the current IFS Apps in the Netherlands. Also the Service Engineers in Greece will use the Mobile Work Order app for their activities.

Due of the improvements made by the recent optimisations, more departments are willing to start working with IFS. Currently, the focus is on the Engineering department to see if they can start using IFS for creating Bill of Materials. Within the Supply Chain department the Dynamic Order Proces (DOP) is analysed to be included.

EWT has optimisation requests from various points of view that are prioritised. In the course of 2020 some of these are probably included in IFS. The goal is to be more in control of the Supply Chain and enhance communication and visibility between all departments.
